Client Intake Coordinator for Dynamic Law Firm (San Francisco)

A boutique family law firm in SF has an immediate need for an Intake Coordinator. The firm is known for high-quality legal work, excellent client service, and a friendly and supportive workplace. The Intake Coordinator is the first point of contact for clients and is the driver of ensuring new and constant business for the firm. The position is remote but requires a candidate who resides within the Pacific Standard time zone.  Offers a friendly and professional work environment. Job Description:

• Answer phones and accurately direct calls in a remote environment using Ring Central;
• Conduct intake calls with prospective clients; screen prospective clients using the firm’s Intake Questionnaire; do conflict checks; schedule appointments for all nine attorneys to meet with clients by phone, video, and/or in-person; follow up with clients to confirm appointments and calendar appointments;
• Talented at toggling between multiple software platforms in a short period (Clio, Adobe Professional, Microsoft Word, Outlook, Zoom, and Ring Central);
• Prepare fee agreements for new clients, following instructions provided by attorneys; send fee agreements to clients; route signed agreements to Office Manager for payment;
• Maintain client electronic files; follow firm procedures to properly file scanned documents sent by the firm’s attorneys;
• Track/analyze incoming calls/leads using the firm’s SEO software.

Job Requirements:

• Minimum of one year of client intake experience at a 5+ attorney law firm;
• Requires a quiet, professional environment from which to work and reliable internet;
• Reliability. This is a position for someone who can work 8 hours a day;
• Warmth, professionalism, ability to sell the firm, curiosity, openness to learning, speed, and excellent multi-tasking skills are needed;
• Resourcefulness;
• Demonstrated time-management and organizational skills;
• Must be dependable, a team player, and comfortable with working independently;
• Ability to handle confidential matters with sensitivity and discretion;
• Attention to detail;
• Tech-savvy and proficient in Microsoft Word, Outlook, Adobe Professional, Zoom, RingCentral, and Clio.
