Collections Secretary

This position is responsible for giving excellent client service and assists with day-to-day operations. Performs a variety of administrative and operational functions including data entry and assisting with overflow tasks. Requires excellent communication, both verbal and written, and attention to detail. Documents are processed in accordance with FDCPA guidelines

Job Description:

About the job – 75% Collections Support

  • Drafts demands, suit requirements letters, lawsuits, garnishments, journal entries, and other letters and court pleadings
  • E-filing
  • Process garnishment service packets
  • Process lawsuit service packets
  • Processes Summons Return on Service and Garnishment Return on Service
  • Post payments
  • Data entry and New File Requests
  • Prints & distributes all e-filed pleadings
  • Reviews trust balances, WIP costs, and A/R in Sierra to ensure sufficient funds available for expenses
  • Tracks costs expended on e-flex for billing purposes
  • Mails service packets to appropriate sheriff for service
  • Runs weekly docket report
  • Runs monthly garnishment & written explanation report and review those files
  • Processes Summons Return on Service and Garnishment Return on Service
  • Client contact in person and by phone
  • Posts payments, issues check requests when necessary
  • Maintains updated records in JST
  • Maintains updated and organized files
  • Schedules and updates calendar events
  • Pre-trial and hearing preparation
  • Closes month end and forwards information to accounting for billing
  • Backup to Collections Supervisor
  • Annual file review

25% Administrative Support:

  • Data entry and New File Requests
  • Runs SCRA and PACER searches
  • Local counsel referrals
  • Month end backup
  • Garnish report
  • Process garnishment answers
  • Handles miscellaneous administrative activities
  • Performs other duties as assigned
  • Back up for Collections Supervisor
Job Requirements:
  • College classes in Finance, Accounting, Business or Legal preferred
  • 2 years of secretarial or support experience
  • 2 years of experience in collections preferred
  • Proficiency with Microsoft Office Suite
  • Excellent attitude and an extraordinary client service orientation
  • Strong verbal, written, presentation, and interpersonal communication skills
  • Great attention to detail
