Legal Specialists is partnering with a global law firm that’s hiring a Litigation Legal Secretary with at least 3-5+ years of experience to join their team in San Francisco. The person in this role will assist attorneys by administratively managing all phases of commercial litigation. Job Description:
  1. Provides secretarial support to assignments including, but not limited to, transcribing dictation tapes, typing correspondence, reports, memoranda, and/or other documents and submitting same for review; revising, proofreading, assembling, and distributing prepared material as necessary in an accurate and timely manner.
  2. Reviews and routes incoming correspondence.
  3. Creates and maintains well-organized and timely client files (hard copies and electronic); resource materials and administrative files and indexes.
  4. Performs electronic filing of court documents (e.g., County, State, Federal, and/or Appellate Courts.)
  5. Screens and routes telephone calls, and receives and directs clients.
  6. Schedules and confirms appointments in a proactive manner. Ensures guests are registered visitors with the building.
  7. Schedules conference rooms and guest offices using the Firm scheduling software.
  8. Input attorney’s daily billable time following the Firm’s policy on Timekeeping & Billing.
  9. Prepares expense reports for review and submission.
  10. Monitors case deadlines and maintain case calendar utilizing Firm docketing system.
  11. Communicates and interacts appropriately with internal and external clients to deliver a high level of customer service, consistent with the Firm’s “First in Service” philosophy.
  12. Reviews pro formas for billings received from the Accounting Department to clients for services rendered and complete complex clerical procedures in connection therewith.
  13. Coordinates domestic and international travel arrangements and tracks travel expenses for timely reimbursement.
Job Requirements:
  1. Minimum of 3-5 years litigation experience
  2. Knowledge of court procedures and rules in California
  3. Typing 65 WPM or better
  4. Ability to multi-task
  5. Proficient with drafting routine letters and other documents
  6. Exceptional file management skills especially electronically
  7. Flexibility to work overtime as needed. Comprehensive knowledge of Microsoft Office (Excel, Outlook, PowerPoint, Word) and PDF software. Must possess an excellent customer service attitude.
  8. Experience with InTapp Time, Chrome River Expense Reporting, Elite Webview, Interaction, Cisco Telephone System, iManage, and ADP is a plus.
  9. Excellent verbal and written communication skills
  10. Attention to detail
