Looking for an office manager for a local nonprofit organization that provides Counseling Services. Under general direction from the Program Director, oversees daily business operations and supervises billing functions. Intakes clients, manages client charges and receipts, answers phone, greets visitors to building, completes productivity reports, credentials staff, and assists with marketing activities.

Job Description:
  • Oversees daily operations and administrative functions.
  • Supervises volunteers and front desk personnel and provides front desk support as needed.
  • Recruits, screens, trains and evaluates front desk staff according to established policies and program requirements.
  • Meets weekly with staff to review office duties and efficiency of systems.
  • Develops and refines office systems and procedures to ensure the most efficient operation.
  • Trains staff on new procedures.
  • Supervises all billing functions for the office, including verifying benefits, accurately entering information into billing console, and informing clients of benefits.
  • Bills the private insurance or private pay clients on regular basis.
  • Answers client questions regarding billing.
  • Provides preliminary explanation of services to determine eligibility and provides referrals if necessary.
  • Takes intake information and schedules therapy sessions or appointments for clients.
  • Assesses individual needs of clients to determine appropriate staff to handle needs.
  • Assists in maintaining relevant data on each client including information for billing purposes such as income verification, copies of insurance cards, and fee agreements.
  • Assists with insurance forms as needed including OTRs and authorizations.
  • Type a variety of documents and runs a variety of reports, including productivity, reconciliation and statistical information for grant reporting.
  • Advises program director of discrepancies and concerns with reports.
  • Assists therapists with credentialing process.
  • Follows up on credentialing applications.


Job Requirements:
  • Medical Billing Experienced Required
  • Valid driver’s license. Vehicle for work-related errands.
  • Minimum two years of experience in mental health or medical office procedures and supervision.
  • Health care related experience preferred.
  • Possesses knowledge of HIPPA and all aspects of confidentiality.
  • Good word processing and spreadsheet skills; ability to operate a personal computer and use a variety of software applications.
  • Ability to collect and analyze data and participate in strategic planning.
  • Strong leadership skills to work constantly with staff, clients and general public.
